OCASE Training

What is OCASE?

The Ontario Community-Based AIDS Service and Evaluation (OCASE) system is a client records management tool currently used by the 27 dedicated AIDS service organizations in Ontario. Every agency that uses OCASE must record its client information and the services it has delivered in an agency-specific, confidential database. Only authorized individuals from each agency can access the recorded information.

OCASE Training was designed by the OHTN Health HIVe and the OCASE team at the OHTN.

OCASE TREAT Training

This training consists of 4 OCASE system modules that guide learners through the participant workflow:

  • Module 1: Register a Participant
  • Module 2: Enroll a Participant
  • Module 3: Serving a Participant
  • Module 4: Referrals and Documentation

By the end of this course, will be able to:

  1. Register participants and create participant records in OCASE
  2. Enroll participants in programs and services
  3. Schedule and document participant encouters, activities and notes
  4. Manage participant records through issues, referrals and supporting documentation

OCASE Training takes approximately 50 minutes to complete.  You can stop and start at any time. There are ungraded knowledge checks throughout the modules.

Privacy and Security Basics

In addition to the OCASE training modules, learners are also required to complete a standalone module, Privacy and Security Basics.

This module includes a certificate of completion and is adapted from a resource developed for Ontario health service organizations. It aligns with the Personal Health Information Protection Act (PHIPA), 2004, and provides foundational knowledge on privacy, confidentiality, and the secure handling of personal health information.

By the end of this module you will be able to:

  1. Explain the core principles of information security and their importance in OCASE.
  2. Describe your responsibilities for protecting participant information and maintaining confidentiality.
  3. Identify your organization’s role in supporting information security through policies and procedures.
  4. Apply best practices for workplace, computer, password, and email security.
  5. Recognize how secure information handling helps protect participant privacy and maintain trust.

Privacy and Security takes approximately 10 minutes to complete.  You can stop and start at any time. There is a 5-question quiz at the end of the module.  You must score 80% to obtain a certificate of completion.
