Venue and Travel

Booking your travel: If you would like your travel expenses covered by the event sponsor, all bookings must be made by August 28th.  Please contact Amanda at [email protected] to secure your train or plane ticket.

Securing Hotel: At the time of registration you were asked if hotel accommodations were required. The event sponsor will cover the cost of a one-night stay on September 28, 2023. If you need to make changes to this, please contact [email protected].

Please be sure to save your receipts to include in your expense report.

Toronto Pearson International Airport
The Union Pearson Express (UP express) runs every 15 minutes.  The train takes approximately 25 minutes to arrive to Union Station where you can walk to the hotel.

Billy Bishop Airport
This airport is conveniently located only 2.1  km from the Westin Harbour Castle hotel.  You can take an Uber or Taxi to the hotel.  Or if you prefer, the walk is about 25 minutes.

Train/TTC
The hotel is a 10 minute walk from Union Station.  If you prefer to take a bus from the station, the 19 Bay or 72 Pape.  The bus will drop you off at Bay street and the walk is about 1 minute west.   

Car
Limited concierge parking is available at the hotel.  We encourage guests to park at one of the parking lots available in the area.  For guests travelling from outside the GTA, please ensure you obtain a receipt for expensing purposes.

Travel Expense Reimbursement

PARKING: For those staying overnight and who have driven to the hotel, your parking will be covered; however, if you live within the city of Toronto your parking costs will not be covered unless you need to drive for accessibility reasons. If you are not staying at the hotel and have driven from outside of Toronto, and are not able to take public transit, please be in touch to discuss whether we are able to cover parking for you during the day.

MEALS: This budget reflects meals consumed by an individual outside of meeting times (breakfast and lunch are provided during the two event days and are therefore not reimbursed). Please note that alcoholic beverages will not be reimbursed. These rates include taxes and gratuities. Itemized receipts must be attached, not credit card or debit slips alone, to receive reimbursement. These amounts have been updated based on the 2020 Provincial Government Travel, Meal and Hospitality Expenses Directive
Breakfast: $10.00
Lunch: $12.50
Dinner: $22.50

For reimbursement for expenses incurred during your travel and stay, please keep all itemized receipts and submit to [email protected] . Please also read the entire Travel Expense Form (link below). We’re pleased to be providing meals throughout your day, please be advised that we will not process meal claims during times when meals are available at the hotel as part of our event. 

DEADLINE: All expenses must be submitted by October 19th, 2023 for reimbursement.
